1. How to raise a grievance
Submit your concern through the official Contact page and include a concise description, relevant dates, the service involved and any reference number. Include copies of relevant correspondence only where necessary and redact unrelated sensitive information.
2. Information to include
Provide your preferred contact method, a description of the issue, the outcome you are seeking and supporting information that is relevant to the complaint. Do not send passwords, payment authentication codes or unnecessary identity documents.
3. Review and response
The responsible team should record the complaint, assess it fairly and respond within the timelines required by applicable law and any service agreement. Insert verified acknowledgement and resolution timelines, along with the designated grievance officer's details, before publication.
4. Escalation
If the issue remains unresolved, the final published policy should explain the appropriate internal escalation route and, where applicable, relevant external consumer, data-protection or regulatory channels. Do not invent an officer name, address or statutory timeline.
5. Privacy and records
Complaint information should be accessed only by people who need it to investigate and resolve the matter and retained under an appropriate records schedule.
